Map every entry point
List every form, phone number, email, chat, event source, partner route, and manual handoff that can create an inquiry. Assign a system of record, an owner, a response expectation, and a visible fallback for each one.
Define useful response
Speed matters, but a fast generic response can still fail. Define what the rep must understand, which channel fits the inquiry, how attempts should continue, and when the inquiry has reached a real conclusion.
Make qualification observable
Qualification should reflect the offer and sales motion. Write down the fit, problem, intent, urgency, stakeholder, and next-step information sales actually needs. Review real conversations to keep that standard grounded in buyer behavior.
Design routing and handoff together
Routing determines who receives the opportunity. Handoff determines whether they can continue it. Record the buyer context, relevant problem, questions, expressed interest, qualification, and agreed next action in the system sales uses.
Measure the chain
Track response, contact, conversation, qualification, accepted handoff, pipeline, and closed outcomes. Use operational metrics to find the constraint; use commercial outcomes to determine whether fixing it mattered. Review missed and delayed inquiries, not only completed work. Bring sales acceptance and outcome data back into coaching, and change one meaningful operating variable at a time when possible.
